Transcribing files
How do I transcribe a file?
Open the transcription page, drop your audio or video onto the upload area (or press Browse files), pick the language spoken in the recording, and press Transcribe.
The file appears in your workspace straight away and starts processing. When it is done, click it to read, edit, translate or export the transcript.
Do I need an account to try it?
No — you can transcribe 1 file a day without signing up, and we open an anonymous workspace for you automatically so it has somewhere to live. A free account raises that to 3 a day and is what lets you download, export and share the result.
Guest transcripts are kept for 7 days. Sign in with Google or create a password before then and everything you transcribed moves across to your account.
Which file formats can I upload?
Audio and video both work. If your format is not listed, converting it to MP3 first is the quickest fix.
- Audio — MP3, M4A, WAV, AAC, OGG, OPUS, FLAC, WMA, MPGA.
- Video — MP4, MOV, WEBM, MPEG, WMV. We extract the audio track and transcribe that.
How large can a file be?
On the free plan each file can be up to 30 minutes and 500 MB, and you can transcribe 3 files a day, 3 at a time.
On Unlimited each file can be up to 10 hours and 5 GB, with 50 files in one batch and no daily cap.
My upload keeps failing.
Large uploads are sent in small pieces, so a slow connection is usually fine — but some office, campus and public networks cut off long uploads to save bandwidth.
If a big file will not go through, try these in order:
- Convert the video to an audio-only MP3 on your computer. Nothing is lost for transcription and the upload is many times smaller.
- Switch networks — a phone hotspot often succeeds where a corporate network blocks the upload.
- Check the file plays in your own media player. A truncated or corrupted download cannot be transcribed.
Can I record straight into WhoScribe?
Yes. Press Record in the upload dialog to capture from your microphone, then stop and transcribe the recording without saving a file first. Your browser will ask for microphone permission the first time.
How do I label who is speaking?
Turn on Speaker recognition before you press Transcribe. Each segment of the finished transcript is then tagged with the speaker we detected, and the labels carry through to your exports and subtitles.
Speaker recognition takes a little longer than a plain transcription, and it works best when people do not talk over each other.
My transcript came out in the wrong language.
This is nearly always the Language setting. Set it to the language actually spoken in the recording — German audio needs German, not English.
If a recording switches between languages, or you are not sure, choose Detect automatically and we will work it out from the audio.
How can I get a more accurate transcript?
Accuracy depends mostly on the recording, not the settings. A few things reliably help:
- Set the spoken language explicitly instead of leaving it on automatic detection.
- Record as close to the speaker as you can, and away from air conditioning, traffic and background music.
- Avoid re-encoding an already compressed file over and over — upload the original if you still have it.
- For interviews and meetings, turn on speaker recognition; separating voices also makes the text easier to follow.
How long does a transcription take?
Usually a small fraction of the length of the recording — an hour of audio is typically ready in a couple of minutes. Long files are split into chunks and processed in parallel.
You do not have to wait on the page. Processing carries on if you close the tab, and the transcript will be waiting in your workspace.
What is the best way to handle a lot of files?
Select several files at once in the upload dialog — 3 on the free plan, 50 on Unlimited — and they queue up together.
Use folders to keep a project in one place, and the search box to find a phrase across everything you have transcribed.
Which languages can you transcribe?
WhoScribe runs on Whisper large-v3, which covers 90+ languages. The language picker lists the ones people ask for most; anything else is handled by Detect automatically.
Accuracy varies by language and by recording quality — widely spoken languages with clean audio come out best.
Transcripts, subtitles and exports
Which formats can I export to?
Open a transcript and press Export. Five formats are available, and each one honours speaker labels if you used them.
- DOCX — a formatted Word document for editing and sharing.
- PDF — a fixed layout for printing or attaching.
- TXT — plain text with no formatting.
- SRT and VTT — timed subtitle files for video.
How do I add subtitles to my video?
Export the transcript as SRT (or VTT) and import that file into your video editor or player. Almost every editor, YouTube and Vimeo included, accepts SRT.
The timings come from the transcript, so if you edit the text before exporting, the subtitles match your edits.
Can I edit or rename a transcript?
Yes. Click into the text to correct a word, fix a name or tidy a speaker label — changes are saved to your workspace and included in every export you make afterwards.
To rename the file itself, use Rename from the transcript list.
How do I translate a transcript?
Open the transcript and press Translate, then pick the target language. We translate the text you already have — there is no need to upload the file again.
The translation sits alongside the original, so you can export either one.
How do I share a transcript with someone?
Press Share to create a link. Anyone with that link can read the transcript without signing in; the audio file is not shared and the page asks search engines not to index it.
The link is not secret, so treat it as public. You can revoke it at any time from the same dialog and it stops working immediately.
How do I delete a transcript?
Select it in your workspace and choose Delete. That removes the text and the stored audio file together, and it cannot be undone — export anything you want to keep first.
Account and login
How do I sign in?
Use Continue with Google, or create an account with an email address and password. Both reach the same workspace.
I forgot my password.
Press Forgot password on the sign-in page and we will email you a reset link. If it does not arrive within a few minutes, check your spam folder and confirm you used the address you signed up with.
My transcripts have disappeared.
Nine times out of ten this means a second account. Signing in with Google creates a different account from an email-and-password sign-up, even when both use the same address.
Check which address you are signed in as on the profile page. If you transcribed as a guest and did not sign in within 7 days, those files will have been removed.
My Unlimited access is missing.
Again, this is usually the wrong account. Check the email address shown on your profile page against the address on your payment receipt.
If they match and access is still missing, email [email protected] with the name on the payment method, the last four digits of the card and the date of the payment, and we will find the account and put it right.
How do I delete my account?
Open your profile and choose Delete account. You will be asked for your password to confirm. Everything below goes, permanently:
- Your subscription is cancelled.
- Every uploaded audio and video file is deleted.
- Every transcript, translation and folder is deleted.
- The account itself is removed.
Plans and billing
What does the free plan include?
3 transcriptions a day, up to 30 minutes and 500 MB per file, with every export format and no card required.
Without an account you get 1 a day and can read the transcript on screen; downloading, exporting and sharing it need a free account.
What does Unlimited include?
No daily limit, files up to 10 hours and 5 GB, and 50 files in a single batch.
It costs $20 a month, or $120 a year — which works out at $10 a month.
How do I pay?
Payments are handled by Stripe, which accepts the major credit and debit cards. Card details go straight to Stripe and never touch our servers.
How do I cancel?
Open the billing portal from your profile and choose to cancel. Your subscription then runs to the end of the period you have already paid for and does not renew.
Cancelling does not delete anything — your transcripts stay in your workspace, back under free plan limits.
Where do I get invoices and receipts?
The billing portal holds every invoice, including past ones, and you can update the billing name, address and tax details shown on them there.
Can I switch between monthly and yearly?
Yes, from the billing portal. Switching to yearly credits the unused part of the month you have already paid for.
Privacy and security
Who can see my files?
Only you, unless you create a share link. Transcripts and media are tied to your account and are not browsable by other users.
Traffic to WhoScribe is encrypted in transit, and staff access to stored files is limited to what is needed to run the service and investigate faults.
Do you train AI models on my recordings?
No. Your recordings and transcripts are not used to train our models. Audio is sent to our transcription providers only to produce your transcript — see the Privacy Policy for who they are.
How long do you keep my data?
Files and transcripts stay until you delete them or close your account. Guest transcripts made without signing in are removed after 7 days.
Deleting a transcript removes its stored audio at the same time.
Can I get a copy of my data, or have it erased?
You can export every transcript yourself as DOCX, PDF, TXT, SRT or VTT, and deleting your account erases the rest.

Which browsers do you support?
Current versions of Chrome, Edge, Safari and Firefox on desktop and mobile. In-browser recording needs microphone permission, which some older browsers do not offer.
Do you have an API?
Not yet. Everything goes through the web interface for now. If an API would matter for your work, tell us at [email protected] — that is how we decide what to build next.
