Mobile app purchases, optional measurement and notifications

On Android and iPhone, store purchases are processed by Google Play or Apple. We receive product and transaction identifiers, verification references, purchase state and subscription expiry to deliver and restore your access. We do not receive your full payment card details. Mobile Pro access is linked to the same Whoscribe account used on the website.

Usage analytics and crash reports are separate, optional choices in Privacy preferences and are off by default. When enabled, Firebase Analytics receives app usage, SDK purchase events, app platform and technical device/installation information; Firebase Crashlytics receives technical crash and device diagnostics. The app does not send file names, transcript text, chat text, emails or account IDs as analytics events. Advertising identifiers and advertising consent are disabled.

If you enable notifications, OneSignal and Google Firebase Cloud Messaging or Apple Push Notification service process device subscription tokens, app/device information, notification interactions and purchase events for delivery and engagement measurement. OneSignal may derive an approximate country from the IP address. Turning notifications off unsubscribes the device; it does not delete records already held by the notification provider. The app does not include transcript or recording content in push messages.

Our own records distinguish web, Android and iOS registrations, app sessions and media imports, and may include IP-derived country. These account and service records are separate from optional Firebase usage analytics. For deletion or access requests, use our account deletion page or contact privacy@whoscribe.ai.

Who this covers

This policy explains how APPFACT STUDIO LTD handles personal data on whoscribe.ai and in the WhoScribe app. It applies to visitors, free accounts, paid subscribers, and to everyone who installs WhoScribe – YouTube Transcript & Subtitles.

If you disagree with anything here, please do not upload files to the service. For questions, write to privacy@whoscribe.ai.

What we collect

We keep the data below for as long as your account is open, unless you delete it sooner.

• Account details — your name, email address, hashed password, and the profile picture and Google account identifier if you sign in with Google.
• Uploaded media — the audio and video files you send us, kept so we can process them and let you download the original again.
• Transcripts and translations — the text we generate from your media, including timestamps and speaker labels.
• Billing data — subscription status and plan. Card numbers are handled by Stripe and never reach our servers.
• Technical records — IP address, browser type and server logs, used to keep the service running and to investigate abuse.

What we use it for

We do not sell personal data, and we do not use your recordings or transcripts to train our own models.

• Turning your recordings into transcripts, translations and export files.
• Running your account, applying plan limits and processing payments.
• Sending service email such as password resets and billing notices.
• Diagnosing faults, preventing abuse and meeting legal obligations.

Who we share it with

Depending on the feature you request and the configured provider, your audio, transcript text and chat questions are sent to OpenRouter and the AI providers it routes to, OpenAI, Google Gemini or DeepL to produce your transcript, translation or chat answer. The providers used can vary by model, availability and fallback configuration. Review the policies below for their data handling.

Storage, retention and deletion

• Files and transcripts stay on our servers until you delete them or close your account.
• Deleting a transcript removes its text and its stored audio file.
• Deleting your account removes every transcript and audio file belonging to it. This cannot be undone.
• Backups and server logs may keep copies for a short period before they expire.

The browser extension

WhoScribe – YouTube Transcript & Subtitles is our Chrome extension. Its single purpose is to transcribe YouTube videos and let you read the transcript or watch with subtitles. Everything else in this policy applies to it as well; this section sets out every piece of data it handles.

The extension runs only on YouTube pages. It looks for a video element so it can offer its transcript button. It does not read page text, form fields, cookies, passwords or browsing history, and nothing leaves your device until you ask for a transcript.

• Collected when you press transcribe — the web address of the YouTube video you chose. It is sent to whoscribe.ai, where our servers fetch the audio at that address and transcribe it. This is website content, collected only for the transcript you requested.
• Stored on your device — two preferences in local extension storage: the subtitle language you last chose, and the list of YouTube hostnames where you switched the on-page button off. They are never synced and never sent to us or to anyone else.
• Stored on our servers — the resulting transcript, saved to your WhoScribe account just like one made on the website, along with the address it came from. If you are not signed in, it belongs to a temporary guest session.
• Account identity — the extension asks for no password and no API key. It reuses the whoscribe.ai session cookie your browser already holds, and reads your own account email from our server only to show which account the popup is working in.
• Shared with — the audio is sent to our transcription provider, named in the table above, for the sole purpose of producing your transcript. Nothing else about the extension is shared with anyone.
• Deleting — removing a transcript from your account deletes its text and its audio, whether it was created in the extension or on the website. Uninstalling the extension erases the two local preferences.

What the extension never does

For the extension and for everything it sends us, we confirm that:

• We do not sell your data or transfer it to third parties, apart from the processors listed above, who act only on our instructions to deliver the feature you asked for.
• We do not use or transfer your data for any purpose unrelated to the single purpose of transcribing video.
• We do not use or transfer your data to determine creditworthiness or for lending purposes.
• We do not track your browsing, keep a record of the pages you visit, or use your recordings and transcripts to train our own models.

Transcribing through Telegram and WhatsApp

You can send a voice message, an audio or video file, or a video link to the WhoScribe account on Telegram (@whoscribe_bot) or WhatsApp and receive the transcript in the same chat. This is optional; nothing here applies unless you message us there.

• Collected — your Telegram chat ID or your WhatsApp phone number, and the messages you send to us: audio, files, links and short commands. We do not read your other chats or contacts.
• Linking — if you connect the chat to your WhoScribe account with a one-time code shown on the website, we store which chat or number belongs to which account so we can check your plan. You can unlink at any time by sending “unlink” or from your account page.
• Stored on our servers — transcripts made through a chat are saved to your account like any other; audio follows the same retention rules. If you have not linked an account, they belong to a temporary guest session that is deleted after 7 days.
• Shared with — Telegram or Meta (WhatsApp) deliver the messages, and the audio is sent to our transcription provider to produce the transcript. Both act only to provide this feature.
• Deleting — unlinking removes the stored chat ID or phone number from your account; deleting a transcript removes its text and audio.

Share links

Turning on a share link makes that transcript readable by anyone who has the link, without signing in. The audio file is not shared, and the page asks search engines not to index it, but the link itself is not secret.

You can revoke a link at any time from the transcript page, which immediately stops it working.

Your rights

You can view and correct your details in account settings, export every transcript as DOCX, PDF, TXT, SRT or VTT, and delete your data at any time.

Depending on where you live you may also have the right to object to processing, to restrict it, or to complain to a data protection authority. Write to privacy@whoscribe.ai and we will respond.

Children

The service is not intended for children under 13, and we do not knowingly collect their data. If you believe a child has created an account, contact privacy@whoscribe.ai and we will remove it.

Changes to this policy

If we make a material change we will update the date at the top of this page and, where the change affects you significantly, notify account holders by email.
